Capture Revamp - How I increase the S.U.S Score from 62.22 to 79.58

Capture is a B2B assessment platform that automates psychological tests and generates psychologist-validated reports for recruitment and internal use. It serves 50+ clients, 1,100+ monthly users, and offers white-label solutions for custom platforms. In 2023, I led the UX and UI revamp initiative to improve the overall user experience of the platform, making it more intuitive and seamless for both internal teams and client HRs. This project involved close collaboration with almost every internal division (Marketing, RnD, Ops, Sales, IT, Finance, and BOD) and direct research with HR representatives from 10 of our VIP client companies.

Due to budget constraints, the full redesign couldn’t be implemented. Instead, we gradually integrated key features and UX concepts into the existing platform to deliver value within business limits.

Challenge

As Capture scaled, the platform began to show signs of UX debt:

  1. Users struggled with unintuitive navigation and fragmented task flows.

  2. Inconsistent UI patterns across modules caused confusion and reduced efficiency.

  3. Both internal teams and client HRs faced friction during critical workflows.

Role & Responsibilities

As the PIC, I collaborated cross-functionally with 7+ divisions (PM, Dev, Ops, R&D, Sales, Marketing, BoD, Finance) in a lean team of <20 people, ensuring alignment across business, tech, and user needs.

  1. Led the end-to-end UX/UI design process as the sole designer, covering planning, research, wireframing, prototyping, usability testing, and iteration across a 3-month revamp timeline.

  2. Conducted 10+ user interviews and usability tests with internal users and HRs from 10 VIP client companies to validate problems and design effectiveness.

  3. Owned all key design deliverables — resulting in a design that led to 27.9% increase in SUS score (from 62.22 to 79.58).

  4. Presented findings and design recommendations to BoD and PO, helping prioritize improvements that contributed to 94.6% of users reporting easier task completion and 89% finding the UI intuitive.

  5. Defined and prioritized features based on research insights, business constraints, and feasibility, directly shaping the revamp’s design direction.

  6. Regularly gathered feedback from 5+ internal user roles during requirement gathering and iteration, ensuring product-market fit and adoption readiness.

Results

  1. System Usability Scale (SUS) score improved from 62.22 (marginal usability) to 79.58 (good usability)

  2. 94.6% of surveyed users reported that completing tasks became easier with the new design

  3. 89% said the revamped UI made it easier to find key features and navigate the system

  4. Revamp concepts were gradually implemented to fit technical and budget constraints.

Process

Emphasize

To understand user needs and pain points, I conducted interviews with 10+ internal and external users. I synthesized these insights using affinity mapping to identify recurring themes, which revealed usability issues across three core features: Dashboard, Penjadwalan (Scheduling), and Detail Tes (Test Details).

Questions Draft for User Interview

Define

From the interview insights, I formulated clear problem statements around each of the core features. These statements guided the focus of the revamp and helped ensure we were addressing real user frustrations.

Problem Statement

How might we give better experience for user in using our core features?

Ideation

I ran a competitive research in similar platforms to gather UX/UI insights, then explored and refined design concepts through multiple iterations before prototyping.

Prototyping

Using Figma, I created high-fidelity interactive prototypes. As the sole designer, I actively sought peer feedback throughout this stage to improve design quality. I continuously refined the prototype until it was ready for usability testing.

We decided to focus on improving our core features

Capture's Main Features

Improvement Points:

Dashboard

A menu to see demographic data and psychotests result data visualization.

  1. Make the “Data Analytic” section more prominent—consider placing it in a separate menu or increasing its visibility.

  2. Add a feature to export charts as images for easier sharing.

  3. Refine the visual design for a cleaner appearance.

  4. Allow users to customize the displayed information.

Penjadwalan

Access to invite candidates and schedule them for assessments

  1. Enable customization of email notifications related to participant progress.

  2. Allow group scheduling directly via the web to reduce dependency on Excel files.

  3. Improve the navigation flow—clicking “Scheduling” should lead directly to either “Bulk” or “Individual” scheduling based on usage frequency to reduce clicks.

  4. Allow token top-up directly within the scheduling page to streamline the process.

Detail Test

Monitoring panel to see candidate’s assessment progress.

  1. Allow users to update acceptance status directly on the page without navigating elsewhere.

  2. Enhance the UI for better clarity while maintaining the existing flow.

  3. Simplify the status update process for ease of use.

As we improved the UX, we also took the opportunity to enhance the UI for a more cohesive and visually appealing experience.

Testing

I conducted the first usability test with 10+ participants from different companies using Useberry. Each tested 18 tasks in one session. While users appreciated the new UI, task completion metrics showed only slight improvement.

Key Feedbacks

  1. SUS score improved from 62.22 (marginal) to 68.89 (still below ideal).

  2. Task success rate reached 99.49%, with only one failed attempt.

  3. Feedback indicated that visuals needed further refinement to enhance clarity and UX.

  4. Interview documentation lacked consistency, making it difficult to compare insights across respondents.

Iteration

Not satisfied with the result, we decided to do an iteration with the goal:

Key Iteration Goals

  1. Refine UI visuals based on feedback from the first UT.

  2. Identify user pain and pleasure points when using Dashboard, Penjadwalan, and Detail Tes menus in Capture V4.0.

  3. Find which tasks in those menus took the longest to complete and understand why.

  4. Improve interview note consistency by introducing a standardized documentation template.

Based on round-one feedback, I refined the design again—adjusting task flows, button labels, and filter behaviors. I then ran a second usability test with another 10+ participants, this time separating new vs. returning users for deeper insights.

2nd User Testing

Re-inviting some of the previous respondents, I conducted a second usability test with 11 participants from 10 different VIP client companies. To ensure it ran more smoothly than the first, I created a standardized documentation template, as shown on the side.

Usability Testing Session Recording Form

2nd User Testing Results

SUS score improved from 62.22 (marginal) to 79.58 (good), with all re-invited participants from UT1 gave higher score in UT2.

Users agree that the design are already user friendly, with 89% felt it was easier to find features and navigate

All participants reached 100% task succession rate with 94.6% of them said tasks were easier to complete

Due to its complexity and various features, users admit that they still need time to adapt with Capture V4.0.

Conclusion

Despite some pain points identified during testing, users agreed that the design of the Dashboard, Penjadwalan, and Detail Test menus in Capture V4.0 is user-friendly and easy to navigate. While some noted a need for time to adapt and explore the new layout, overall feedback indicated a positive user experience and smooth learning curve.

Lessons Learnt

Throughout the usability testing process, I discovered several important takeaways that can help improve future research and testing efficiency.

  1. Create reusable research templates based on UT#1 and UT#2 to streamline future data processing and save time.

  2. Use more open-ended follow-up questions to gather deeper and more meaningful feedback.

  3. Clearly explain the usability testing process to each participant and confirm their full understanding beforehand.

  4. Test one menu at a time to help participants stay focused and provide more context-specific insights.

  5. Since participant devices vary, ensure prototypes are lightweight and optimized for broad accessibility.
